JOB SUMMARY

The Front Desk / Customer Service & Administrative Support Associate is responsible for managing front office operations, handling customer interactions, supporting sales and logistics documentation, and ensuring efficient communication across departments. The role serves as the first point of contact for clients, visitors, and internal teams while maintaining professionalism and operational accuracy.

 

KEY RESPONSIBILITIES:

1.    FRONT DESK & CUSTOMER SERVICE

·        Serve as the first point of contact for visitors, clients, and staff.

·        Receive and attend to walk-in inquiries professionally.

·        Manage incoming calls using proper telephone etiquette.

·        Record and log all calls accurately in both digital and physical systems.

·        Handle customer complaints and escalate issues where necessary.

 

2.   COMMUNICATION MANAGEMENT

·        Manage the company’s WhatsApp platform and respond to inquiries promptly.

·        Handle social media messages (e.g., Facebook, Instagram).

·        Provide accurate information to customers and internal teams.

·        Follow up with suppliers, customers, and internal departments.

 

3.   SALES & ORDER PROCESSING

·        Receive daily sales orders via WhatsApp or in person.

·        Accurately enter orders into the designated Excel sales sheet.

·        Coordinate with Accounts for printing, stamping, and approvals.

·        Ensure all sales documentation is processed before deadlines.

 

4.   DOCUMENTATION & RECORDS MANAGEMENT

·        Prepare and write sales waybills accurately.

·        Handle credit and cash sales invoice entries in Odoo.

·        Stamp, record, and distribute incoming documents.

·        Maintain proper filing systems for office documents and records.

 

5.   LOGISTICS AND OPERATIONS SUPPORT

·        Record shipping data including batch numbers, QC details, and expiry dates.

·        Manage production transfer records and verify data accuracy.

·        Cross-check shipping and production documents with relevant teams.

 

6.   VISITOR MANAGEMENT

·        Maintain accurate visitor logs (digital and physical).

·        Record visitor details including purpose of visit and contact information.

·        Direct visitors to appropriate staff or departments.

 

7.   ADMINISTRATIVE SUPPORT

·        Maintain office supplies and monitor resource usage.

·        Ensure front desk area is clean, organized, and professional at all times.

·        Support general administrative duties as assigned.

 

QUALIFICATION

Minimum of a Diploma or Bachelor’s Degree in Business Administration, Customer Service, Office Management, Or a related field

 

EXPERIENCE

·        Minimum of 1–3 years experience in: Front desk operations, Customer service & Administrative support.

 

KEY PERFORMANCE INDICATORS (KPIs)

·        Accuracy of data entry and documentation

·        Timeliness of order and invoice processing

·        Customer satisfaction and response time

·        Proper record and log management

·        Compliance with company procedures

 

TECHNICAL SKILLS

·        Proficiency in Microsoft Office (Excel, Word)

·        Experience using ERP systems (e.g., Odoo) is an advantage

·        Familiarity with social media platforms and messaging tools

·        Basic data entry and record-keeping skills
